Funds

Funds shows each pot of money with a purpose: what is in it, what came in and went out, and whether it is restricted.

What this screen is for

A fund is a pot of money with a purpose, such as General Operating or a scholarship. Funds live in Finance, under the Funds tab, beside Budgets. Each fund has a card with its balance, what came in and went out this period, and whether it is Restricted or Unrestricted, with a sentence about the restriction. Fundraising also has a Funds part, under Money in, that shows each balance and an "Open Finance → Funds" button.

Add a fund

  1. Open Finance, then Funds.
  2. Click "+ Add fund".
  3. Type the "Fund name" and a "Description".
  4. Under "Name donors see in a thank-you", type the words a donor should read, or leave it blank to use the fund name.
  5. Tick "Restricted fund (donor or grant restricted)" if the money may only be spent for one purpose.
  6. Click "Save".

See what moved through a fund

  1. Click a fund's card to open every gift and expense in it, with the net.
  2. Under "Fund Accounting", click "View txns →" on a fund to open its transactions, or "Edit" to change it.

An example

Margaret Chen gives $5,000 for the summer reading program. You add a fund named "Summer Reading", tick "Restricted fund (donor or grant restricted)", and under "Name donors see in a thank-you" type "our summer reading program". You pick that fund when you record her gift. Her thank-you names the program, and the Summer Reading card shows $5,000 in, marked Restricted.

Remove a fund

  1. Under "Fund Accounting", click "More" on the fund's row, then "Remove".
  2. If no gift is designated to it, it is deleted. If gifts are designated to it, it is retired instead: it is no longer offered for new gifts, and every past gift and report keeps it.

What Steward doesn't do here

Steward never moves money between funds and never holds or moves your money. Removing a fund never changes the gifts already designated to it.
