Portfolio

A portfolio is the group of donors and prospects assigned to one fundraiser, who is responsible for building a personal relationship with each of them.

Why it matters

A portfolio makes ownership clear. Every important donor has one name next to them, so calls get made and nobody hears from three different staff members in the same week.

Keep it small enough that you can actually know each person. Review it each quarter, move out people who have not responded, and add the donors whose giving or engagement says they are ready for more attention.

How Steward shows it

In Steward, assigning a donor to an officer is what puts them in that officer's portfolio. The pipeline can show your own portfolio or everyone's once two or more officers hold donors, and only admins can see other officers' portfolios. Donor history is still shared across the whole team.

  • Moves management Moves management is a structured way to plan and log each deliberate step, or move, that brings a donor closer to a gift: from identifying them, through cultivation and the ask, to stewardship after.
  • Major gift A major gift is a gift large enough that your organization handles it personally, with visits, a tailored ask and close stewardship. The dollar threshold is set by each organization, not by the sector.
  • Capacity Capacity is an estimate of how much a donor could give if they chose to, usually over several years, based on their wealth and income rather than on what they have given so far.
